Personal Data Protection Notice for the launch of the International Research Centre on Artificial Intelligence under the auspices of UNESCO (IRCAI)

The organisers of the launch are Jožef Stefan Institute (JSI), under auspices of which IRCAI is established, and the Ministry of Education, Science and Sport of the Republic of Slovenia, which are committed to protecting the personal data they process in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of individuals with regard to the processing of personal data and on the free movement of such data, GDPR.

The personal data we collect will be used solely for the purpose of organising, managing and following up this event. The data will be stored for as long as the follow-up of the event is necessary in relation to the purposes of the processing of the personal data. The personal data will be stored on JSI’s internal secure drives. The photos/pictures and films/videos taken during the event may be used by the organisers for public relations purposes. They may also be published on designated websites, including the scientific video repository Videolectures.net. Please note that JSI will record the public sessions of the launch and take a screenshot of the participants, as indicated in the agenda, and store it on JSI’s systems to create a multimedia summary of the event that will be made available to participants and the wider public. If you do not wish to be recorded during these sessions, please keep your camera turned off.

JSI will use this online registration form to collect personal data, including names, titles and contact details of those attending the launch. The data will be used to register attendees for the virtual meeting on March 29-30, 2021, to create a list of attendees, and to communicate with attendees after the event (e.g., distribute a discussion summary document). The personal information collected will be stored and retained on an internal, secure JSI drive until there is no longer a need to contact you.
Only JSI staff involved in organising the event will have access to your data. Under the Rules, you have the right to access and rectify your personal data, as well as object to processing, request erasure and obtain data portability in certain circumstances.
